POSITION SUMMARY

Job Title: Accounting and Office Manager

Location: Mississippi Park Connection / National Park Service Office – Saint Paul, MN

Reports To: Executive Director

Type: Full-Time (40 hours/week)

Salary: $58,000 – $72,000/year depending on experience

Mississippi Park Connection is seeking a full-time Accounting and Office Manager to manage the organization’s financial systems, office operations, and HR administration. This person will be instrumental in ensuring that MPC runs smoothly and efficiently by maintaining accurate financial records, supporting staff and board operations, and handling key administrative functions that keep the organization compliant and effective.

The ideal candidate will have experience in nonprofit bookkeeping and accounting, managing office systems, and providing HR and administrative support. They will also be detail-oriented, organized, and motivated to contribute to a collaborative team. This role requires both precision in financial management and a hands-on approach to office administration, and it plays a vital part in supporting MPC’s mission and impact.

KEY RESPONSIBILITIES

Accounting & Bookkeeping (Primary)

  • Maintain accurate financial records in QuickBooks Online.

  • Process accounts payable and receivable, including invoices, expense reports, checks, and deposits.

  • Reconcile accounts monthly, prepare journal entries, and manage/prepare materials for audits.

  • Monitor budgets, track expenses, and provide regular reports to the Executive Director and Finance Committee.

  • Manage grant expense tracking and grant salary allocations.

  • Ensure donor gifts are recorded correctly in accounting software.

  • Generate financial reports for leadership, staff, and the board.

  • Maintain billing@parkconnection.org email.

Human Resources & Compliance

  • Oversee payroll administration and coordinate with external payroll/benefits providers.

  • Maintain accurate and confidential personnel files.

  • Ensure staff onboarding paperwork and benefits enrollment are complete.

  • Manage staff compliance with cybersecurity and IT policies.

  • Manage compliance documents and policies.

Office & Board Administration

  • Oversee office supply management and vendor coordination.

  • Process mail and correspondences on behalf of the organization.

  • Oversee support requests and tickets with external IT provider.

  • Assist with scheduling and internal communications as needed.

  • Prepare board and committee meeting materials; attend meetings and record minutes.

  • Maintain organized records, files, and documentation (electronic and physical).

Fundraising & Events (Support Role)

  • Enter donations into the donor database and generate acknowledgment letters as needed.

  • Provide logistical support for fundraising and community events as required (registration, supplies, check processing).

  • Support other duties as assigned in service of the organization’s objectives and goals.

QUALIFICATIONS

To perform this position successfully, the ideal candidate will have the following qualifications:

  • 5+ years of bookkeeping/accounting experience, preferably in a nonprofit setting.

  • 3+ years of payroll and HR experience.

  • Strong understanding of accounting principles and internal controls.

  • Proficiency in QuickBooks Online and Microsoft required.

  • Detail-oriented, organized, and able to manage multiple priorities.

  • Excellent written and verbal communication skills.

  • Collaborative and inclusive approach to working across teams.

  • Strong attention to detail and ability to manage multiple priorities and deadlines.

  • Commitment to the mission, vision, and values of MPC and a passion for national parks and environmental stewardship.

WORKING CONDITIONS AND PHYSICAL DEMANDS

  • Some lifting up to 25 pounds may be required. Ability to lift supplies, equipment, and materials.

  • Moderate noise level.

  • Required to move about in an office environment, sit for extended periods of time, and move about in the community.

  • Ability to work flexible hours, including some evenings and weekends.

  • Ability to work outdoors for events and meetings.

  • Ability to work seated and on a keyboard for longer periods of time.

  • Ability to work in person from the Saint Paul offices. Flexible work schedules may be discussed.

  • Hold a valid US Driver’s License and qualify to drive a federal vehicle.

  • Ability to travel within the Mississippi National River and Recreation Area corridor.

  • Ability to pass a federal background investigation for PIV card, federal vehicle, and federal building access.
